What a Salary Slip Must Contain

A salary slip (payslip) is the monthly statement an employer issues showing how an employee's pay was arrived at. To be usable as proof of income for a loan, visa or a new job, it should carry:

  • Company name, logo and registered address
  • The pay period — month and year
  • Employee name and employee ID
  • Paid days and loss of pay (LOP) days
  • An itemised list of earnings and deductions
  • Gross earnings, total deductions and net pay
  • Net pay repeated in words, and the payment date

Common Salary Slip Components in India

Earnings

  • Basic Salary — usually 40–50% of CTC and the base for PF, gratuity and HRA
  • House Rent Allowance (HRA) — typically 40% of basic (50% in metro cities), partly tax-exempt
  • Dearness Allowance (DA) — inflation-linked, mostly for government employees
  • Conveyance / Transport Allowance
  • Special or Performance Allowance — fully taxable

Deductions

  • Provident Fund (EPF) — 12% of basic + DA from the employee
  • Employee State Insurance (ESI) — 0.75% of gross, where applicable
  • Professional Tax — state-specific, capped at ₹2,500 a year
  • TDS / Income Tax — as per the employee's declared regime
  • Loan or advance recovery, if any

How to Generate a Salary Slip

Step 1 — Company details

Is my salary data uploaded anywhere?

No. The entire tool runs in your browser. Company details, employee details, salary figures and the logo you choose are held in your browser's memory only — they are never transmitted to SnapHRM or any third party, and the PDF is generated on your own device. Closing or refreshing the tab clears everything.

Is the generated payslip statutory-compliant in India?

The template covers the information a payslip is expected to carry — employer details, pay period, employee identification, itemised earnings and deductions, gross pay, total deductions, net pay and payment date. Compliance also depends on the figures being right, so make sure components such as EPF, ESI, professional tax and TDS are calculated correctly for your state and the employee's tax regime.
