How to track attendance and shifts

Clock in, mark attendance, approve regularisation, and assign shifts from the roster.

Two menus

Managers open Attendance: Summary, Mark Attendance, Regularisation, and Shift Roster. Employees open Self, then Attendance: Summary, Clock In/Out, Regularisation, and My Shifts.

Rules live under Settings, Attendance & Shifts. The tabs are Attendance Rules, Employee Shifts, Shift Rotation, and Regularisation. Rules are saved per location, so set up locations first. Device punches are a separate guide: biometric attendance.

Attendance rules

On Attendance Rules, each location card has:

  • Leaves Start Month — when the leave year begins for that location.
  • Employee self Clock-In/Clock-OutAllow or Don't Allow.
  • Clock In Reminder — Yes or No, plus Clock In Reminder Time.
  • Overtime Pay on Holiday — Yes or No.
  • Allowed IP AddressesAdd the office addresses people may clock from.

Copy From First copies the first location’s rules to the others. Then Save.

There is no separate geofence field on this screen. If a clock-in includes a location, it shows on the Clock In and Clock Out maps and on the attendance detail.

Clock in, or mark the day yourself

When self clock-in is allowed, the employee opens Clock In/Out and chooses Clock In or Clock Out.

To mark the day for them, open Mark Attendance. Filter Status to All, Present, Absent, or Not Marked, set each row, and Save All.

Summary has Download Attendance Report, then Download.

Regularisation

Someone uses this when a swipe is missing or wrong. On the Regularisation settings tab, choose what employees may change:

  • Not Allowed
  • Only Missing Swipes
  • All Logs

Then limit how often: the last N days, N times in the current month, week, or year, or only before a chosen day of the current month. Pick which roles can act on a request, and Save.

The employee opens Regularisation and chooses Apply. The form is Apply Regularisation: employee, date, working from, requested clock in and clock out, and a reason. They can Edit or Delete while it is pending.

Managers open Attendance, then Regularisation. Pending requests show a count on the menu. Accept asks you to continue. Reject asks for a Reject Reason. You can also Add a regularisation yourself.

Shifts and the roster

Settings, Attendance & Shifts, Employee Shifts. The page is Shift Definitions. New opens Add New Shift.

  • Shift Type — Strict Timings or Flexible Timings.
  • Shift Details and Schedule — start, end, and Late mark after (minutes).

Set as Default marks the shift new people should get. Edit and Delete are on the list.

Open Shift Roster to see who is on which shift. Bulk Assign sets many people at once. Shift Definitions jumps back to the list above.

Shift Rotation is the next settings tab. Add New Shift Rotation, then assign people. Run Rotation applies it now. Automate Shifts keeps it running. Employees see their own pattern under My Shifts.

Frequently asked questions

How do employees clock in?

They open Self, then Attendance, then Clock In/Out, and choose Clock In or Clock Out. This only works when Employee self Clock-In/Clock-Out is set to Allow under Settings, Attendance & Shifts, Attendance Rules.

How do I mark attendance for the team?

Manager menu, Attendance, then Mark Attendance. Set each person, then Save All. Filter by Present, Absent, or Not Marked.

What does regularisation do?

It lets someone request a change to a clock-in or clock-out. Settings control whether that is Not Allowed, Only Missing Swipes, or All Logs, plus how often they can ask. Managers Accept or Reject from Attendance, then Regularisation.
