How to run courses and certifications

Categories, courses, sessions, enrollments, learning paths, and certificates that expire.

Order of work

Training runs: settings, courses, sessions, enrollments, learning paths, certifications, reports. Employees consume it from Self, then Training, starting at My Learning. The product page is employee training software. The same steps are in the product under Training, then Help & Guide.

Settings

Settings, then Training.

  • General — auto-enroll, whether people may self-enroll, default capacity, and how far ahead to warn that a certificate is expiring.
  • Categories
  • Course Types
  • Delivery Types — classroom, online, or blended.

Create the lookups before the first course, or the course form has nothing to pick.

Courses and sessions

A course is the catalog item. Give it a category, a course type, a delivery type, and its modules. Mark it mandatory if everyone in scope must take it. Publish it when it is ready to assign. A draft is not something you enroll people on.

A session is one scheduled run of that course: capacity, a place or a link, and start and end times. Take attendance on the session. People are not “in the course” until an enrollment points them at it, usually at a session.

Enrollments and learning paths

Enrollments — assign someone yourself, or let a mandatory course auto-enroll when that setting is on. Link the enrollment to a session. Update progress as they finish modules. Overdue enrollments show on reports.

A learning path is courses in an order. Create the path, add the courses, assign people, and watch completion. Employees open Learning Paths on Self.

Certificates and reports

Certifications — record what was issued and when it expires. Reports list the ones about to expire, using the warning window from settings.

Reports — completion counts, overdue enrollments, and trends. Check them on a schedule rather than only when someone asks for a certificate.

My Learning

Tell employees to open Self, then Training:

  • My Learning — what is assigned now
  • Courses and Sessions
  • Learning Paths
  • Certifications

They do not create courses or issue certificates. An onboarding task can deep-link them here; see onboarding.

FAQ

Frequently asked questions

What do I configure first?

Settings, then Training. Set categories, course types, and delivery types (classroom, online, or blended), plus whether people can self-enroll and how soon to warn about expiring certificates.

How is a course different from a session?

A course is the catalog item: category, type, delivery, modules, and whether it is mandatory. A session is a scheduled run of that course, with capacity, a place or link, and times. Enrollments attach people to a course and can point at a session.

Can a mandatory course enroll people by itself?

Yes. Training settings include auto-enroll for mandatory courses. You can also assign enrollments yourself.
